Today we walked through one of the most valuable automations you can build in your real estate business: a live lead intake workflow inside Flowdesk. When this is set up, every new lead that comes into your world gets a professional, on-brand email sequence automatically... without you having to lift a finger every single time.

Get your branding into Flodesk first: Before you build anything, import your logo, brand colors, and fonts into your Flodesk account under the Branding settings. Every email we are about to build should look and sound like you... and having your branding already loaded in makes that so much faster. If you are still finishing your branding kit, that is okay. Come back to this session when you are ready. It will be in the hub waiting for you.
 
Your lead intake form: This is where every new lead enters your system. Instead of having people just DM you or send a text, I want them to fill out a form first. It keeps everything organized, filters out the non-serious ones, and makes the automation possible. I recommend having a separate form for buyers and a separate form for sellers, but you can do one combined form if that feels simpler. Keep it short: name, email, phone number, Instagram handle, and one question that is specific to your business. That is it. The detailed questions come later on the consultation call.
 
Zapier connects your form to Flodesk: Once your form is ready, you use Zapier to automatically send every submission straight into your Flodesk segment. One zap for buyers, one for sellers. The free Zapier plan is enough for most of you, so do not worry about paying for anything right now. A full step-by-step Zapier tutorial is on the hub so you can follow along.
 
Your three-email buyer workflow: My team created a Flodesk template for you so you are not starting from scratch. All you do is download it, customize your colors, fonts, photo, and copy, and you are building. Here is how the sequence flows:
  • Email 1: Sent immediately when someone fills out your form. This is your digital first impression. Welcome them, share your buyer's guide, and give them a link to book a call with you.
  • Email 2: Sent three days later. This is where you add a testimonial or Google review to build trust and remind them of your guide and your booking link.
  • Email 3: Sent four days after that. This is your stay-in-touch email... simple, warm, and focused on keeping the relationship alive.
 
The Google Drive tip that saves you so much time: Instead of uploading your buyer or seller guide as a PDF directly into Flodesk, host it on Google Drive and paste the Drive link instead. That way, when you update your guide six months from now, you just replace the file in Google Drive and the link automatically shows the newest version everywhere. You never have to go back into Flodesk and re-upload anything.
 
Add your leads to your newsletter at the end: After the three-email sequence is complete, the last step is to add each lead to your newsletter segment. That way, from that moment forward, they start receiving your monthly newsletters, market updates, and any future campaigns you send. They stay in your world even if they are not ready to buy or sell yet.
 
The seller workflow is almost identical: Once your buyer workflow is done, building the seller one is fast. The structure is exactly the same. All you need to do is update the language to speak to sellers, swap in a seller's guide, and make sure your Zapier zap is pointing to your seller segment instead of your buyer segment.
 
Not using Flodesk? You can still do this: If you are using BoldTrail or another CRM, the email templates are already in the buyer and seller workflow Google Sheets in the hub. You can copy and paste the email bodies directly, run them through Claude or ChatGPT to get them sounding like you, and load them into your CRM instead. Same strategy, different tool.

Import your branding into Flodesk: Logo, colors, and fonts. Do this first before anything else. The tutorial is in the hub.
 
Set up your lead intake form: Keep it short. Name, email, phone, Instagram, and one business-specific question. Build separate buyer and seller forms, or one combined form with a buyer or seller selector.
 
Build your Zapier connection: Use the tutorial on the hub. Free plan is fine. One zap for buyers, one for sellers.
 
Customize your three-email buyer workflow: Download the template from the hub, make it look and sound like you, and add your booking link and buyer's guide using a Google Drive link. Then do the same for the seller workflow.
 
Test before you publish: Add your own email to the workflow first and make sure every email arrives on time, every link works, and everything looks the way you want it to. Then go live.
 
Keep logging into your CRM daily: Track your sessions on the accountability spreadsheet in the hub. We are checking in on this every Thursday.
