Participant Registration Guide
Welcome to your Cohort onboarding! 
 
Step 1:  Breathe. Take your time. Missing these details may result in the inability for Loveland to approve your vouchers. There’s no need to rush. 
 
Follow the steps below to create & maintain your Loveland profile.
 

Onboarding Steps

1. Save for Reference: Bookmark this [link]. This is a guide. You will come back to this page regularly throughout your time with us.
 
2. Device Requirement: Complete the following steps on a laptop or computer – NOT a cell phone or tablet. These devices will result in errors.
 
3. Start Registration: To begin the Participant Portal Registration process, use this link: Participant Portal Registration
 
4. Fill Out Registration Form: Complete all fields on the registration form, including confirming the Terms and Conditions. 
 
Important: Make sure your phone number includes the “+1” without any dashes or spaces.
  • Example: +11234567890 and will look like this:

5. Confirm Payment Arrangement & Account Type: 
(only 2 options)
  • Therapist-Pay Account: Loveland pays your therapist directly (via our Stripe ACH service) for the services they provided for you.
  • Self-Pay Account: You pay your therapist, then Loveland reimburses you (via our Stripe ACH service).
Important: Due to IRS regulations, we can NOT switch your Payment Arrangements back and forth. STOP, re-confirm, and contact your therapist directly before continuing.
 
6. Finalize Registration: Confirm your account via email. After completing registration and confirming your account, log in here: Loveland Portal Login

7. Self-Pay Accounts ONLY: After logging in, you will be prompted to set up your reimbursement details with Stripe. See full steps [here].
 
Important:
  • This process takes about 10 minutes.
  • You can NOT pause or return once you start.
  • You only need to do this one time.

9. Send your therapist a registration invite:
 
Quick overview:
  1. Go to your "Therapists" tab. → Select "Connect With Therapist" → Enter your therapist's email address.
  2. If your therapist has an existing Loveland account, then enter their profile's email instead.
  3. Wait for your therapist to finish registering.
  4. Use "Find Therapist" only if you need help locating a new therapist.
  5. See below.
Important: Your therapist must set up a Therapist Profile and use the Loveland Portal for you to utilize your vouchersregardless of payment arrangement.
 
Important: Your therapist must also complete their Stripe setup when prompted. This is non-negotiable. You will NOT be able to proceed with this therapist if not completed. For more info, click [here].

10. Send & Confirm Connection Invite: After your therapist is registered, re-enter their email address into "Connect With Therapist". Wait for your therapist to confirm the connection. After they confirm, your dashboard should look like this:
 
Important: Your therapist must provide you the EXACT email address they used to create their Therapist Profile. They can not be different.

11. Request Vouchers: 
 
Go to your "Vouchers" tab → select "Request Vouchers." Only 4 vouchers can be issued at a time. You are eligible for 12 vouchers maximum. Vouchers can take less than 1-2 business days to show on your dashboard.  
 
Important: For your 2nd and 3rd requests, you must complete a closeout survey before receiving the next batch. (See step 14)

12. Session and Voucher Management: After your 4 vouchers are issued, your therapist will create sessions from their side of the portal for you and begin the reimbursement process. Review and manage your sessions on your “My Sessions” dashboard (pictured).

13. Self-Pay Accounts ONLY: For your sessions, your therapist must manually approve your submissions
 
Quick overview:
  1. Your therapist creates a session from their side of the portal
  2. You attend the session and pay them directly
  3. Your therapist marks the session as "Attended"
  4. Your therapist selects the available “white boxes” and clicks “Request Reimbursement
  5. Then only after this step, can you select the available “white boxes” from your side of the portal and click "Self-Pay Reimbursement"
  6. You upload and submit your proof of payment
  7. Then only after your submission, your therapist must mark the session as “Approved
  8. Follow up directly with your Therapist to ensure all steps are completed. See below.
Important: Submit vouchers for reimbursement within 30 days of the completed session to avoid denial. Sessions can NOT be back-dated. 
 
 
14. Additional Vouchers: After you complete your first 4 vouchers and require more (for any reason), please follow step #11 until you have reached your maximum. 
 
Important: For your 2nd and 3rd requests, you must complete a closeout survey before receiving the next batch.
